  • Job Summary

    What's the role? You will provide coordination and support on behalf of the procurement services team. You will be responsible for the overall administration of the procurement services software solution and create executive reporting. You will be expected to become the subject matter expert on this software, provision access, and provide support for both internal and external stakeholders. Lastly, you will have the opportunity to serve as a backup for processing purchase orders.


    What does it take to make the cut? Some experience in an office setting in an administrative capapcity is required. Ideal candidates must have strong communication skills to be successful in this role; you will be expected to interact with various leaders throughout the organization as well as a plethora of stakeholders internally and externally. Your resume will rise to the top if you have previous procurement experience.

    Minimum Qualifications Required (all must be met to be considered)

    • Associate's degree or direct and applicable work experience 
    • Minimum of two years experience working in a fast paced and ambiguous work environment; administrative, coordination, reporting/data validation, project coordination/management.
    • Excellent follow up skills and record keeping.
    • Must be proficient in Microsoft Office programs (Word, Excel, PowerPoint, and Outlook) and other software programs as required within the department.
    • Must be organized, detail-oriented, and able to multitask, adapt to shifting priorities, and be a solution-oriented creative thinker.
    • Ability to work without close supervision, exercise independent judgment, and communicate effectively with all levels of personnel where tact, diplomacy, and good judgment are essential.
    • Ability to organize multiple tasks/projects, maintain control of work flow, and learn quickly.
    • Skill and proficiency in oral and written communications including spelling, grammar, punctuation, and composition.
    • Resourceful in gathering and analyzing data to meet department demands.
    • Demonstrated ability to develop positive and collaborative relationships with internal/external stakeholders that enable effective and exemplary support and to ensure the desired outcomes are met.
    • Self-motivated and a sense of urgency with the ability to see what needs to be done and take action to ensure successful and timely accomplishments of departmental tasks/requirements.

    • Previous procurement or contract administration experience 


    Job Accountabilities

    a. Provide coordination and support for the procurement services team including assignment of projects based on resource availability and alignment, maintaining accuracy of reports, data, and the administration for all procurement services tools.

    b. Serve as the procurement services software solution administrator including the assignment of system access, role access and provides customer service for both internal and external stakeholders. Serve as the liaison for vendors regarding any procurement tool questions, access issues, etc.

    c. Responsible for building, maintaining and compiling dashboard data including customer service surveys and executive reports. Provide summation of detailed performance data, savings information and any additional key reporting elements in an executive summary. Support adhoc reporting needs to internal stakeholders.

    d. Coordinate and assign work to procurement services team members based on skill set or divisional alignment, and resource capacity for requests. Provide stakeholders with timely and accurate updates related to inquiries received by phone, email or direct interaction may require research to resolve the inquiry.

    e. Serve as a backup for the creation of purchase orders including getting competitive quotes from vendors. Will review and analyze n pricing information to ensure accuracy. Will process requests for any change orders and activities on purchase orders.

    f. Design and maintain department tools and the procurement services intranet page. Provide administrative support to resolve and monitor any production issues. Serve as the primary resource for stakeholders and team members regarding system utilization and processes.

    g. Continuously review and scrutinize processes within procurement services and look for ways to better serve the business. Partner with leadership and business stakeholders to share ideas to implement changes.

    h. Contributor for the department business continuity/disaster recovery plan procedures. Updates all department procedures in the Wellmark BC/DR system on a timely basis.
