Job Summary

In this role you will be an integral member of the enterprise portfolio team, responsible for providing support and data analysis for the portfolio of projects.  You will coordinate with portfolio analysts to help prepare meetings, including but not limited to conference room setup, agendas, meeting minutes, post-meeting wrap-up activities. You will also interface with internal stakeholders to assist with necessary project documentation. You will perform analysis requests and maintains portfolio data integrity to support the enterprise portfolio.

Minimum Qualifications Required (all must be met to be considered)

 

  • Associates Degree in related field or direct and applicable work experience
  • Minimum 1+ years’ experience administering a process in an office environment
  • Strong technical acumen, specifically with Microsoft Office products, with the ability to learn new systems quickly
  • Strong attention to detail; ability to follow and update/document processes
  • Strong communication skills, both verbal and written, with the ability to effectively develop relationships of trust and collaboration
  • Demonstrated organizational skills with the ability to accurately perform multiple tasks simultaneously

Hiring Specifications Preferred

  • Associate’s degree
  • 1+ years’ experience with financials, budgets and/or resource management
  • Experience with project/program management
  • PlanView experience

 

Job Accountabilities

a. Provide administrative support enterprise for the portfolio team, including the organization of meetings, portfolio meeting agendas, distribution of meeting minutes and tracking progress on outstanding items.

b. Support the portfolio team by updating and analyzing data from the portfolio management tool and others sources.

c. Provide support to team members, vendors and other stakeholders through friendly, professional, timely and accurate responses.

d. Assist in the analysis of resource data, demand and project scenarios, to proactively predict resource constraints and project collisions.

e. Create and maintain daily, weekly, monthly, and yearly forecasting for assigned projects, project teams, and business areas.

f. Provide a data analysis from multiple applications/systems regarding the overall health of the enterprise portfolio. Ensure data is accurate.

g. Responsible for business case input and project data updates in the tool.

h. Support the generation of various reports from the portfolio tool and other sources to support the portfolio.

i. Maintain and monitor the enterprise portfolio tool.

j. Other duties as assigned.
